D.A.R.A. (Digital Assistant for Revenue Acceleration) is a legal billing management application developed for Fischetti Law Group and built by T.O.S. Automations. This Privacy Policy applies to all users of the D.A.R.A. application.

By using D.A.R.A., you consent to the data practices described in this policy. If you do not agree with this policy, please do not use the application.

2. Information We Collect

2.1 Information from Google OAuth

When you sign in to D.A.R.A. using Google OAuth, we collect:

  • Your full name - Used for account identification and personalization
  • Your email address - Used as your unique account identifier and for communication
  • Your Google profile picture (if available) - Used for visual identification within the application

Important: We do NOT request or access any other Google services, including Gmail, Google Drive, Google Calendar, Google Contacts, or any other Google data beyond your basic profile information.

2.2 Information You Provide

When you use D.A.R.A., you may provide:

  • Billing documents (PDFs, images, CSV, Excel files)
  • Patient names and medical provider information
  • Insurance company details and claim numbers
  • Case notes and internal documentation
  • Payment information and financial records
  • Insurance company directory entries

2.3 Automatically Collected Information

D.A.R.A. automatically collects certain technical information to improve functionality and diagnose issues:

  • Browser type and version
  • Operating system and device type
  • Screen resolution and viewport size
  • IP address and approximate geographic location
  • Application usage patterns and error logs
  • Timestamp information for actions performed

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Authenticate and identify users securely
  • Process and extract data from uploaded billing documents
  • Generate demand letters with accurate case information
  • Manage cases, track payments, and monitor mailing status
  • Detect duplicate cases to prevent data redundancy
  • Provide case notes and internal communication features

3.2 System Improvement and Support

  • Debug errors and improve system reliability

  • Create audit trails for document uploads, edits, and deletions

4. How We Share Your Information

We do not sell, rent, or trade your personal information to third parties.

Your information may be shared only in the following limited circumstances:

  • Within Your Organization: Information is accessible to authorized users within your organization (Fischetti Law Group) based on their role and permissions.
  • Service Providers: We use secure cloud hosting and backend platform providers. These providers have access to your data solely for the purpose of providing infrastructure services and are contractually obligated to protect your information.
  • AI Processing Services: Document processing and data extraction features use AI services that may temporarily process your uploaded documents. These services do not retain your data after processing is complete.
  • Legal Requirements: We may disclose information if required by law, court order, or governmental regulation, or if necessary to protect our legal rights.

5. Data Security

We implement industry-standard security measures to protect your information:

  • Encryption: All data is encrypted in transit using TLS/SSL protocols. Data at rest is stored on encrypted servers.
  • Authentication: Access to D.A.R.A. requires secure Google OAuth authentication. Passwords are never stored by our application.
  • Access Control: Role-based permissions ensure users can only access data appropriate to their role (admin vs. regular user).
  • Secure Hosting: D.A.R.A. is hosted on enterprise-grade secure cloud infrastructure that implements strict security and privacy standards.
  • Regular Monitoring: We continuously monitor for suspicious activity and potential security threats.

While we strive to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

6. Data Retention

We retain your information for as long as necessary to provide D.A.R.A.'s services and fulfill the purposes outlined in this Privacy Policy:

  • Account Information: Your profile information (name, email) is retained for the duration of your active account.
  • Case Data: Billing documents, case information, and demand letters are retained until manually deleted by authorized users or as required for legal/business purposes.
  • Audit Logs: System logs and audit trails may be retained for up to 1 year for security and compliance purposes.
  • Error Logs: Technical error logs are automatically purged after 30 days unless flagged for review.

7. Your Rights and Choices

You have the following rights regarding your personal information:

  • Access: You can view your profile information and all case data you've created or have access to within D.A.R.A.
  • Correction: You can update your profile information through the Profile Settings page. Case data can be edited through the Case Management interface.
  • Deletion: You can request deletion of your account by contacting us. Note that some information may be retained for legal or business purposes.
  • Data Export: You can export case data and documents at any time through the application's download features.
  • Revoke Google Access: You can revoke D.A.R.A.'s access to your Google profile at any time through your Google Account settings. This will log you out of D.A.R.A.

8. Cookies and Tracking

D.A.R.A. uses essential cookies and local storage to:

  • Maintain your login session
  • Remember your application preferences
  • Improve application performance

We do not use cookies for advertising or third-party tracking purposes.

9. Children's Privacy

D.A.R.A. is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a child, please contact us immediately.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify users of any material changes by updating the \"Last Updated\" date at the top of this policy and, if appropriate, through in-application notifications.

Your continued use of D.A.R.A. after any changes indicates your acceptance of the updated policy.

11. Third-Party Services

D.A.R.A. integrates with the following third-party services:

  • Google OAuth: For authentication purposes only. See Google's Privacy Policy.
  • PDFMonkey: For PDF generation of demand letters. Documents are processed temporarily and not retained by the service.
  • AI Document Processing Services: For extracting data from uploaded documents. These services process documents temporarily and do not retain your data.

12. California Privacy Rights

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what personal information we collect, the right to delete personal information, and the right to opt-out of the sale of personal information. We do not sell personal information.
